How We Use Pupil Information
Introduction
Leeds Jewish Free School is committed to protecting the privacy and security of personal information. This privacy notice explains how and why we collect, use, store and share information about our pupils.

Why We Collect and Use Pupil Information
We process pupil information to:
Support teaching and learning
Monitor and report on pupil attainment and progress
Provide pastoral care and wellbeing support
Safeguard children and young people
Assess the quality and effectiveness of our educational provision
Meet statutory responsibilities placed upon schools
Administer admissions and attendance
Support pupils with medical needs or SEND

Lawful Basis for Processing
Under Article 6 of the UK GDPR, the lawful bases we rely upon include:

Article 6(1)(e): Performance of a task carried out in the public interest or in the exercise of official authority
Where we process special category data, including health, ethnicity, religion or SEND information, we rely upon:

Collecting Pupil Information
Most pupil information is collected directly from parents, carers, pupils, previous schools, local authorities or other education and support agencies.
While much of the information we collect is required by law, some information is provided voluntarily. Where information is voluntary, we will explain this and any consequences of not providing it.
How Long We Keep Information
We retain pupil information in accordance with our Records Retention Schedule and legal requirements.
As a general guide, pupil educational records are normally retained until the pupil reaches the age of 25 years. Some safeguarding records may be retained for longer where required by law or statutory guidance.
We securely dispose of information when it is no longer required.

We routinely share pupil information with:
Schools, colleges and educational settings that pupils attend after leaving us

NHS services, including school nursing services
Educational psychologists
SEND support services
Social care services
Alternative provision providers

Providers of educational software and systems used by the school
Safeguarding partners where required by law
Courts, police and other public authorities where legally required
Information is only shared where there is a lawful basis for doing so.
Department for Education (DfE)
The Department for Education collects personal information from educational settings and local authorities through statutory data collections.
Schools are legally required to provide certain information to the DfE, including information collected through the school census.
The information is used to:
Inform education policy
Allocate funding
Monitor educational outcomes
Support research and statistical analysis
Improve services for children and young people

National Pupil Database (NPD)
The National Pupil Database is owned and managed by the Department for Education.
It contains information about pupils in schools in England and supports research, policy development and statistical analysis.

Data Security
We have appropriate technical and organisational security measures in place to protect personal information from accidental loss, unauthorised access, misuse, alteration or disclosure.
Access to pupil information is strictly controlled and limited to those who need it for legitimate educational or safeguarding purposes.
